Rental: agree on equipment and ongoing care

For a workplace that prefers a managed arrangement, start by comparing commercial rental plans. Confirm the equipment, service schedule and support in writing. Check the billing interval and GST treatment, rather than assuming a displayed weekly equivalent means weekly charges.

Purchase: decide how maintenance will be handled

Buying gives the business ownership of the equipment. It does not eliminate filter replacement, cleaning, electricity use or possible repairs. Confirm the product warranty and arrange responsibility for ongoing care, whether internally or through a separate service plan.

Compare the current purchase range for the same model and temperature configuration as the rental quote. A larger or differently configured unit is not a like-for-like price comparison.

Use the full period you expect to keep it

Add the initial equipment and installation costs to the expected maintenance and operating costs over your chosen period. For rental, add the actual recurring charges and any separate setup, relocation or end-of-term fees. Do not compare accumulated rental payments only with the bare purchase price.
